Milestone Visibility

We establish a milestone tracker for each project: production complete, booking, bill of lading confirmed, arrival ETA, declaration, inspection, release, delivery. When exceptions occur, we first flag "pending information" before acting, avoiding duplicate instructions.

Document Consistency

Product names, quantities, weights and batch numbers must cross-match across commercial invoice, packing list, bill of lading, certificate of origin and inspection certificates. A common oversight is minor discrepancies between label and invoice product names causing extended inspections.

Booking and Transport Mode

We select appropriate container types, temperature controls and shipping routes based on category, discussing insurance and risk transfer points (Incoterms).

Customs Clearance and Agent Coordination

We coordinate Australian or Chinese customs agents, transmitting complete electronic document sets in advance and allowing for inspection time and supplementary materials windows.

Exception Handling

For arrival delays, failed inspections or document rejections, we compile a factual timeline and facilitate multi-party communication. We do not replace the client's or agent's legal responsibilities.

Incoterms and Risk Transfer

FOB, CIF, DAP, and other terms affect insurance, freight, and customs clearance responsibilities. At project initiation, written confirmation of Incoterms and who is responsible for booking, insuring, and import clearance is essential. Sailing Schedules, Space, and Peak Season Strategy

Chinese New Year, Christmas, and other peak seasons create tight container space—bookings should be secured 4–6 weeks in advance. Temperature-controlled goods should avoid combining high-temperature season routes with extended transit times. ETA changes at arrival must be communicated to importers and agents simultaneously to prevent storage demurrage costs from spiralling.

Insurance and Claims

Marine cargo damage, temperature control anomalies, etc. should be raised with insurers and carriers per contractual timeframes; we assist in compiling timelines and documentation, not in conducting claims negotiations on behalf of clients. Retain loading photos, temperature recorder data, and seal numbers as evidence.

Governance in Multi-Party Coordination

When factories, freight forwarders, shipping lines, Australian/Chinese agents, and importers issue instructions simultaneously, a "single command window" and "final document confirmation person" should be designated—otherwise basic errors occur, such as invoices issued while labels remain unrevised.
